      Interview Thank You Letters: Why They Matter

      • It's a common courtesy. Most HR directors and hiring managers look at a well-composed and error-free interview thank you letter as a sign of a professional.
      • It gives you time to reflect on the interview and really highlight what attracts you to the position and company and how you'll fit.
      • It gives you another opportunity to mention how your skills may be applicable to what was discussed in the interview.
      • You have a better chance of coming up again during candidate discussion. Many companies circulate the letter among the members of the hiring team.

      If you don't send an interview thank you letter, will it affect your chances? It really depends on the company and the interviewer, so better to have sent one, and the right type of one at that, than not; and get it out within one business day.

      Personalization is Essential

      Just as you shouldn't send out assembly-line resumes, standard thank you letters are a bad practice, too. Your research prior to sending a resume should have prepared you for the interview. The interview itself should point you toward the valid points to make in the thank you note, so it is in your best interest to pay attention and think about how you can position your abilities to fit the company.

      Personalize the Content
      In the first paragraph, say thank you and note some positives about the company and/or position that you find appealing. This need not be a long recap: two or three pivotal points should suffice. Here's an example:

      Dear Mr. Employer,


      Thank you for your time yesterday and the chance to discuss Power Job's needs in detail. I was truly impressed with the line operations and the obvious dedication you and your staff invest in safety awareness and production efficiency.


      For the rest of the letter, remember the four R's:

      1. Reiterate your interest in the position. Show enthusiasm and potential collaboration is attractive.
      2. Remind them who you are or about something discussed during your meeting. This is particularly important if you apply one of your past accomplishments to a challenge or issue the company is trying to work out.
      3. Reinforce your ability to do the job. This can be a brief recap of how your capabilities will positively impact the needs of the company and position.
      4. Review. Have someone else proofread your letter for flow and typos, and check spelling and all names and addresses for accuracy.

      Personalize the Approach

      What you've learned about the company and the interviewer can be put to an advantage in your thank you letter.

      • If you and the interviewer talked about a specific subject, include an article on the topic.
      • If you learned of a personal hobby or interest, make a reference to it.
      • Refer to the hiring or callback timeline and offer to come in for a follow-up meeting or provide another number so that you can be reached more quickly if there are additional questions.

      A caveat: these and other personal touches only work if you are truly sincere and this approach falls in line with the company culture. If this kind of personalization doesn't work for you or doesn't fit the company or interviewer's identity, don't bother with it.

      The Interviewer Dictates Style and Delivery
      Again, this is where your prior research should pay off. The industry, the company and especially the interviewer really influence how you should respond with a thank you and in what form.

      • One IT director LoveToKnow Business talked with thought handwritten notes were "creepy." He later clarified that he often received long, drawn-out handwritten notes "when a brief e-mail would have been fine."
      • A marketing manager said she automatically disqualifies an applicant if a thank you isn't received. She preferred a handwritten note or a letter over an e-mail.
      • An HR director for a financial company indicated that form didn't matter, but the process did: "It's a nice courtesy and proper etiquette."

      So you really have to know what and whom you're dealing with in order to craft the proper response.

      A key factor to remember during your interview is that you're gathering as much information about the position, co-workers and company as you can. This type of recognizance will not only benefit you when writing an interview thank you letter, but also affect your decision later if offered the job. Pay attention to the details and they should pay off for you, one way or another.
